Add Live Events to the Calendar
Your live events can now be added to the user's preferred calendar.

To help your users easily plan for your live events, we have created a new feature that can increase your live event attendance.


Getting Set Up

After creating a live event, enable preregister for it. This is an important first step, because if the event is not set to allow preregistration, then your users will not see the event on your Catalog page and won't be able to add it to their calendars.

Once preregistration is enabled, the live event will appear on the Catalog page, under the category you have attributed to it. Each live event video will display the gray Live icon at the bottom-right corner of the event thumbnail for easy identification (the icon turns red when that event goes live).

Add the Live Event to a third party Calendar

To add your live event to a calendar, users will have to be logged in. If they are not logged in or don't have an account, the following image will appear when they click on the live event thumbnail in the Catalog:

NOTE: They are only asked to sign in if your live event Requires access. If your live event is Free for everyone, then users won't have to be signed up to add the event to the calendar.

To add a live event to a calendar:

Navigate to Catalog, then select the Live Event thumbnail. Once the user is on the Live Event page, click the Add to Calendar button below the countdown. The user will have three different options:

  • Google Calendar

  • Apple Calendar

  • Outlook Calendar

  • Outlook 365 Calendar

When the user selects one of the calendars, the following information will be part of the event created on the calendar:

  • Event Title

  • Start Date and Time

  • Short Description

  • Live Event Link

  • 30-minute notification before you go live

Google Calendar

When users select the Google Calendar button, they will be taken to their Google calendar and be asked to Save the event to it.

Once the live event is added, the reminder will appear on the calendar, and a link to the event will be available.

Apple Calendar

When users select the Apple Calendar button, they will be asked to download the event to the calendar. After downloading, users will click on the downloaded file.

After clicking on the downloaded file, a pop will appear to add the event to the calendar. They will need to click Ok.

Once the live event is added, the reminder will appear on the calendar, and a link to the event will be available.

Outlook and Outlook 365 Calendar

When users select the Outlook or Outlook 365 Calendar button, they will be taken to their Outlook calendar and be asked to Save the event to it.

NOTE: It's important to differentiate which account you have. If you try to use the opposite option, you will be asked to sign in to the respective account. Make sure you use the right button whether you have an Outlook or Outlook 365 account.

Once the live event is added, the reminder will appear on the calendar, and a link to the event will be available.

After users have added your live event to their calendars, they will need to follow these steps for every event you create.

NOTE: At this time, live event calendar entries are not dynamic. This means, if you change the live event date or time, your user's calendar event will retain the original date/time. While we plan to look into options to improve this in the future, if this is valuable to you, please do let our Product Team know.
