Send personalized platform emails and build stronger user connections

Uscreen automatically sends emails to users based on various events, such as order confirmations, failed payments, and subscription updates. You can customize these emails to match your brand's tone and messaging.

To access and modify your email templates:

  1. Navigate to Settings > Email Templates

  2. Find and click the title of the email template you want to customize

  3. Make the edits that you require

  4. Click Save to apply the changes

When customizing your email templates, you can enhance readability and branding by using the built-in editor tools.

  • Add Bold, Italic, or underlined text to emphasize key details

  • Insert images for a more visual experience

  • Use bullet or numbered lists to organize information

  • Include hyperlinks to direct users to important pages

  • Customize text colors to match your brand

  • Choose from various font options to maintain a professional look

πŸ“ NOTE: Certain emails rely on variables for key details (e.g., order totals, user names). Removing them could make the email ineffective. If unsure, send yourself a test email before saving changes.


Email Templates

Uscreen provides various email templates for different purposes. Here's a complete list of available templates:

Account Management Emails

  • Invite Customer

    • Sent when you manually add a customer to your platform

    • Includes login credentials and instructions for accessing your content

  • Welcome Email

    • Sent when a customer creates an account on your platform

    • Introduces them to your platform and helps them get started

  • Account Deletion Confirmation

    • Sent when a user deletes their own account

    • Confirms the deletion and provides any necessary follow-up information

Subscription and Payment Emails

  • Trial Subscription Confirmation

    • Sent when a customer starts a trial subscription

    • Includes trial duration, end date, and information about what happens when the trial ends

  • Trial Subscription Ending

    • Sent 7 days before a free trial ends if the trial period is greater than 14 days

    • Sent 3 days before a free trial ends if the trial period is between 4 and 14 days

    • For trials of 3 days or less, sent 24 hours before the trial ends

    • Not sent for 1-day trials as it would arrive too close to the initial welcome email

    • Includes information about the upcoming charge and how to cancel if desired

  • Subscription Purchase Confirmation

    • Sent for successful SVOD (subscription video on demand) purchases

    • Also sent to confirm the successful renewal of the subscription

    • Confirms the subscription details, amount paid, and next billing date

  • Upcoming Subscription Renewal

    • Sent to quarterly, biannual, and annual subscribers 30 days before renewal

    • Not sent to monthly subscribers

    • Includes the renewal date and amount to be charged

  • Cancelled Subscription Confirmation

    • Sent when a user cancels their subscription

    • Confirms the cancellation and indicates when access will end

    • Different templates are used for user-initiated vs. admin-initiated cancellations

  • Paused Membership Confirmation

    • Sent to confirm a recent pause in membership

    • Includes the date when the pause begins and when it will automatically resume

  • Paused Membership Resuming:

    • Sent 7 days before a paused membership is set to resume

    • Reminds the user that billing will restart soon

  • Subscription Payment Overdue

    • Sent when payment is overdue

    • Includes information about how to update payment information

  • Subscription Payment Failed

    • Sent when a payment attempt fails

    • Sent for each subsequent failed retry attempt

    • Includes information about when the system will try again and how to update payment details

  • Refund Confirmation

    • Sent when you refund an invoice

    • Confirms the refund amount and any relevant details

Order and Purchase Emails

  • Order Confirmation

    • Sent for TVOD (transactional video on demand) purchases

    • Confirms the one-time purchase details and amount paid

  • Rental Period is Completed

    • Sent when a rental period is completed

    • Notifies the user that their access to the rented content has ended

Gift and Referral Emails

  • Subscription or Bundle Gift Card

    • Sent to recipients of purchased gift cards for subscriptions or bundles

    • Includes redemption instructions and the gift message

  • Custom Amount Gift Card

    • Sent to recipients of purchased gift cards with custom amounts

    • Includes the gift amount, redemption code, and any personalized message

  • Refer a Friend Invitation

    • Sent to friends referred by your users

    • Includes the referral link and any promotional offer

  • Successful Referral Notification

    • Sent after a successful Refer a Friend conversion

    • Notifies the referrer that their friend has signed up

    • May include information about rewards earned

Live Event Emails

  • Live Event Pre-Registration Email

    • Sent when users pre-register for a live event

    • Contains event details, date/time information, and access instructions

Email Variables

Variables automatically insert user-specific details into emails, such as names, order amounts, and subscription details. They must be formatted correctly to work.

⚠️ WARNING: Do not remove curly brackets {{ }} or add spaces inside the variable, as it may break its functionality.

When customizing emails, certain variables will automatically insert user-specific details. Each template has access to specific variables based on its purpose.

To see which variables you can use in a particular template, click on the { } icon in the email body editor.

User Information Variables

These variables insert details about the user receiving the email:

Test Your Email Templates

Before finalizing your changes, it's important to test your email templates to ensure they look and function as expected.

To test an email template:

  1. Navigate to Settings > Email Templates

  2. Find and click the title of the email template you want to test

  3. Click on the Send Test Email button

  4. The test email will be sent to the email address associated with your account

Add Images to Email Templates

To add images to your email templates:

  1. Navigate to Settings > Email Templates

  2. Select and edit the specific template

  3. Click the area in the template where you want to insert the image

  4. In the email template editor, click the image icon

  5. Drag and drop or select the image file from your local storage

  6. Click Upload

  7. Click Save to apply the changes

Enabling or Disabling Email Templates

You can enable or disable specific email templates depending on your needs:

  1. Navigate to Settings > Email Templates

  2. Select and edit the specific template

  3. Use the toggle under Status to turn the email on or off

  4. Click Save to confirm your settings

⚠️ WARNING: We strongly advise not disabling critical email templates, especially those for subscription renewals and charges, failed payments, or paused memberships.

Why?

  • Many countries have laws requiring that certain transactional emails be sent

  • Disabling these could put you at risk of non-compliance with consumer protection regulations

  • Skipping renewal notifications may lead to unexpected charges for your members, increasing the risk of chargebacks

  • A high chargeback rate can harm your credibility with payment processors and may result in them terminating your account


Restoring Original Email Templates

If you want to reset an email template back to its default text:

  1. Navigate to Settings > Email Templates

  2. Select and edit the specific template

  3. Click on Restore Original Template

  4. Click Save to apply the changes


Email Deliverability Best Practices

To ensure your emails reach your members' inboxes:

  • Maintain a balanced text-to-image ratio

    • Emails that are too image-heavy with little text can appear suspicious to spam filters

  • Use clear subject lines

    • Avoid deceptive tactics like "Re:" or "Fwd:" unless they're genuinely part of a reply or forward

  • Keep a conversational tone

    • Ensure your email's tone is conversational and professional rather than overly sales-driven

  • Segment your audience

    • Tailor your emails to different subscriber segments (active subscribers, one-time buyers, etc.)


FAQs

Can I have different welcome emails for different products?

Currently, we have one standard welcome email for all purchases. Multiple welcome emails or customized emails for individual bundle purchases aren't supported at this time.

Can I change the sender email address?

Yes, you can customize the "From" email address. Go to Settings > Marketing Email Settings and update the "From email" field. For better deliverability, consider setting up a custom email domain. πŸ”— Learn more about Custom Domain for Emails

Why aren't my subscribers receiving my emails?

Check that your email templates are enabled, and advise subscribers to check their spam or promotional folders. They may also try adding your sending email address to their contacts list.

Can I use HTML in my email templates?

Yes, you can use HTML in your email templates, but be aware that some mail clients may have limitations in how they render HTML. Keep your HTML simple and test across different email clients for best results.

Do all subscribers receive the upcoming renewal email?

No, only quarterly, biannual, or annual subscribers receive the Upcoming Subscription Renewal email 30 days before renewal. Monthly subscribers do not receive this notification.
